Development of Digitized Office SpaceĀ
Problem
- Manual paper based processing in offices results in an inefficient system.

- Development of RajKaj web portal for end-to-end automation of processes.
- Automated delegation of work with right delegation for taking action on behalf
- Facilitated information sharing/exchanging modules/processes and third party systems
- Developed Metadata captured both in hindi and english
- Auto generation of UO Note/ Orders through standard global templates
- Integrated SMS, e-mail intimations with e-Sign & digital signature system

- Re-engineered & simplified online processes for office automation.

Case Study
Development of Digitized Office Space
Introduction
RajKaj is a highly effective, efficient, reliable, transparent and integrated next generation IT platform to enhance office productivity and streamlining internal processes associated with day to day functioning.
Problems
The traditional manual paper based processing was followed in offices resulting in an inefficient system. The organizational set up was unstructured and complex as the existing system was in silos and lacked information.
Solutions
The organization developed a RajKaj web portal which facilitates end-to-end automation of processes with automated delegation of work. The system facilitates information sharing among modules/processes and third party systems. The department developed an integrated system of SMS and E-Mail along with a digital signature system for complete digitalization. Other employee-related services are also facilitated for e-transactions in real-time.
Outcomes
The project simplified online processes for office automation which can be accessed through the web, at any time, anywhere, using any device like PC, Laptops, Mobile, and Tablets. The automation increased the overall efficiency & productivity and resulted in significant savings in terms of operational cost. The issues like inconsistent data/ambiguous information no longer persist.
Challenges
The department showed resistance in process re-engineering and there was a lack of administration support. There was a lack of required resources with incomplete information and requirements as there was a wide difference between manual practices and defined processes.
Innovation
The development of a system for auto generation of UO Note/ Orders, auto work reallocation and workflow management and integration with E-Sign and e-Vault.
Opportunities
The department plans to develop service oriented applications and to facilitate faceless process automation. Disrupting technologies like AI/ML, robotics, block chain, cloud services and wearable devices can be used and a decision support system without manual intervention will be developed.
Summary
The platform provides Enterprise Platform with multiple capabilities and re-usable components to provide an electronic and collaborative workplace, automated processes which have been built in compliance to Government policies and procedures providing an efficient and transparent workplace, with very high level of GPR.
