Problem

- Implementation of the Jio Document Management System (JDMS).
- Enabled features such as Document Categorization, Version Control, Security and Access Control, Cloud Integration, Retention Policies and Custom Reporting.
- Leveraged open-source tools, libraries, and frameworks to reduce development costs.
- Implemented efficient document conversion and compression techniques to reduce storage costs.
- Transitioned from traditional, vendor-dependent systems to an in-house solution.

Jio Document Management System (JDMS)
Jio Document Management System (JDMS) is a versatile and user-friendly solution that simplifies the process of document storage, retrieval and management. This software aims to enhance productivity, ensure data security, and streamline document-related processes within the organisation. Seamless migration of existing documents (500+ million) from an existing COTS product to JDMS was considered an accomplishment.
Problem
With the existing product, the organisation had limited control over the development process and had to rely on the vendor’s decisions for updates, feature additions and bug fixes. This lack of control was frustrating when they encountered issues and needed specific enhancements. Need for substantial initial allocation of resources and retaining key personnel and keeping them well-versed in the latest technology. The existing product had a finite lifespan and the vendor discontinued support/updates for older versions.
Solution
Jio Platforms recognised the need to develop a home-grown solution JDMS to mitigate these issues, considering its long-term needs. The organisation tailored JDMS to their needs and leveraged open-source tools, libraries, and frameworks to reduce development costs. An in-house development team worked to build and maintain the system, which adheres to open standards for data formats and interfaces. JDMS user experience and simplified interfaces to connect to upstream and downstream applications have made it unique in Jio’s landscape.
Outcome
JDMS has significantly reduced the dependency on external vendors, cut down on hefty licensing expenses and gained greater control and flexibility over its document management system. JDMS has proven a cost-effective and efficient alternative, sparing Jio the ongoing expenses related to external vendor contracts, maintenance fees, and other hidden costs.
JDMS had been be designed to scale with Jio’s needs. JDMS’s capacity is expandable and can be tailored to suit different requirements – new features can be easily added.
During the peak load, when Jio was onboarding 1.5 million customers per day, JDMS could archive 1.5 to 2 million documents per day, proving its scalability.
